How do I send my handwritten note, artwork or hand/foot impression?

1. Before ordering your keepsake we recommend that you message us on instagram or send an email to see if your image is suitable to use.

2. We'll get back to you within 48 hours!

How do I create my own handwritten note or artwork for a gift?

If you, your child or a loved one are planning to write a message or draw an artwork please do the following:

1. Use a clean white piece of paper.

2. Use a black sharpie marker/pen with a minimum 0.7 thickness.

3. Check the minimum size requirements for original artworks to ensure detail isn’t compromised.

How do I photograph the original?

1. Lay the original piece on a well-lit, flat surface when taking the photo.

2. Make sure there are no shadows cast with your device and turn off your flash.

3. Take a photo directly from above, ensuring the camera is positioned straight over the impression without tilting.

OR

4. Use a scanner (recommended) to scan the original at 300dpi. Save it as a JPEG or PDF file and email us or message us on instagram.

My order is a gift, will I receive it on time?

We do our best to get your jewellery/keepsakes made quickly. However, each item is handmade and have the following estimated processing times:

  • Framed Keepsakes: 3-4 weeks from the order being placed.
  • Artisan Jewellery: 6-8 weeks from order being placed.
  • For all pre-orders, please check the product description.

Please note, processing time may be affected by the length of time taken by you to approve the proof of your custom order.

Shipping time begins once the item is dispatched, not the date that the item is ordered. If you need something rushed, please contact us first so we can try and accomodate your order. Choosing Express Post will not speed up the time it takes to make your jewellery/keepsake.

My keepsake was delivered damaged, what should I do?

If your piece arrives damaged, please take a photo of the damage, including the outer and inner packaging, and immediately contact us.

We will do our best to work with you if there is damage / lost packages, but WE DO NOT take responsibility for what happens to your item once it is shipped.

Shipping & Delivery

We know you’re excited to receive your Otelier pieces, and we take great care in handcrafting each item before shipping it from our studio in Sydney. Orders are dispatched on business days. Once your parcel has been collected by Australia Post, you'll receive a shipping confirmation email.

All jewellery orders receive FREE Express Shipping Australia wide and require a signature upon delivery.

Returns & Exchanges

Our jewellery and keepsakes are completely customised for you and unfortunately ineligible for exchange, refund or store credit. We do not accept exchanges or returns simply because you have changed your mind. Please consider this prior to placing your order.

Proof Policy

At Otelier, we take great care to ensure that your custom piece is crafted to perfection.

Framed Keepsakes: A proof will always be sent to you for approval within one week of ordering, ensuring everything is perfect before production begins.

Jewellery: Within 1-2 weeks of placing your order, our designers will transform your 2D drawing into a 3D printable file. You can choose to receive a 3D blueprint of your piece by email for approval before production moves forward.

We may also send you a proof if we have specific questions or concerns about your design, even if you haven’t requested one. Production will not commence until we receive your final approval by email. Please note that the time you take to review and approve the proof may affect the overall processing time of your custom order.

We will send a proof in the following scenarios:

  • Customer Request: If you request a proof when placing your order.
  • Design Clarifications: If we need to verify specific details before beginning fabrication.
  • Framed Keepsake Orders: Proofs are automatically provided for all Framed Keepsake orders.

If we do not receive a response within 7 days of sending a proof, it will be automatically approved, and we will proceed with fabrication. Please check your spam folder, as you remain responsible for any automatically approved proofs after the 7-day period. If changes are desired after automatic approval, the cost will be the customer’s responsibility.

NB: ONE revision is offered before an additional Proofing Fee is charged to continue working on your jewellery/keepsake.

Artisan Jewellery

Can any handwriting or artwork be used to create a jewellery piece?

In most cases, yes! We can work with almost any handwriting or artwork to create your custom piece. However, due to the small scale of jewellery, some intricate details may need to be simplified to ensure the best result.

Here are a few things to keep in mind:

  • Short words (under 8 characters) or phrases like "I LOVE YOU" tend to work best.
  • For children's artwork, certain details may be adjusted to allow for clear reproduction on a smaller scale.
  • The more handwriting or artwork included, the larger the final pendant will need to be. Please consider how the size will look when worn as a necklace or bracelet.

Will I see a proof of my jewellery before it is made?

How do I measure my necklace/bracelet?

We recommend measuring the desired length before placing an order for a necklace or bracelet. To determine the perfect fit, simply wrap a piece of string around your neck for necklaces, or your wrist for bracelets, and adjust it to your preferred length. For bracelets, ensure there is a comfortable gap by placing your index finger underneath the string. Please be aware that we do not accept returns for changes in length after purchase.

What material is my jewellery made of?

Otelier only uses 925 sterling silver. This is the highest quality silver available. Sterling silver is one of the most beautiful and lustrous of all metals.

Our gold jewellery is crafted exclusively in solid 9ct gold. It is renowned for its soft golden hue and enhanced durability due to its alloy composition.

Please be aware that regardless of the karat or type of precious metal, signs of wear may develop over time as you wear your jewellery in your daily life, accruing natural marks along the way. 

Warranty & Repairs

We will repair manufacturing faults at no cost within three (3) months of the purchase date. Proof of purchase is required in order to claim warranty. Our warranty is only valid if the jewellery is proven by our independent jewellers to be defective due to the manufacturing process.

Our policy requires that you return the piece for inspection before we proceed with the repair. Please note that you are responsible for covering the shipping costs for returning your item. We reserve the right to decline the repair or apply a fee for any items returned after the initial 3-month period.

Manufacturing faults do not include; breakage due to wear and tear, chipped or scratched surfaces, general wear and tear including pendants or rings that have been bent out of shape or oxidised, changes in appearance, gradual degradation, or improper use or storage of your jewellery. We do not accept any returns that have been worked on by any other jewellers prior to the return, as we cannot guarantee the work of jewellers outside of Otelier.

Otelier jewellery is made by hand, each piece is individual and therefore slight alterations from the images shown on the website and design proof may occur.

Framed Keepsakes

Will I see a proof of my Framed Keepsake before it is made?

Yes! With every Framed Keepsake order you will receive a proof of your to help you visualise the finished product, check the layout and the details of your order.

We will work together to create the most authentic representation of your original piece.

Production will not commence until we receive your final approval by email. Please note that the time you take to review and approve the proof may affect the overall processing time of your custom order.

What sizes do each of the keepsakes come in?

  • Handwritten & Kids Art Keepsakes: 8x10inch, 11x14inch, 16x20inch
  • Birth Keepsakes: 6x8inch, 8x10inch
  • Pregnancy & Infant Loss Keepsakes: 6x8inch, 8x10inch

The size you select indicates the UNFRAMED finish size. If you are choosing a size for a specific space, please allow an extra inch around each side for the frame.

How many characters and lines can I use on a Handwritten Keepsake?

Each keepsake has approximate character and line limits to ensure the quality and authenticity of the handwriting is not compromised.

Everyone’s handwriting is unique. You may be able to fit MORE or LESS than what is suggested in the guide below.

  • 8x10 inch (Small): Up to 15 characters, 1-2 lines.
  • 11x14 inch (Medium): Up to 30 characters, 1-3 lines.
  • 16x20 inch (Large): Up to 50 characters, 1-5 lines.

Can any artwork be used to create a Kids Art Keepsake?

In most cases any artwork can be used to create a Kids' Art Keepsake.

We’ve worked from drawings, paintings, chalkboard and magnadoodle pieces. However, there are limitations to the amount of detail that can be captured and reproduced from wood depending on the size you have selected.

We recommend the following as a guide:

  • 8x10 inch (Small): Original artwork can be no bigger than A4 size and artwork covers up to 60% of the area.
  • 11x14 inch (Medium): Original artwork can be no bigger than A3 size and artwork covers up to 70-80% of the area.
  • 16x20 inch (Large): Original artwork can be no bigger than A2 size, artwork covers most of the area.

How do I create and measure my baby’s hand/foot impression?

We recommend using a baby Inkless Print Kit that you can buy from your local baby store. It is mess free!

Once you have chosen your favourite hand and foot impression, measure them from the highest and lowest point as per the example in the product listing.

Please note that accurate measurements are crucial for creating a 1:1 scale of your hand and foot impressions. Any errors in measuring or failure to follow the provided instructions are not the responsibility of Otelier.

Will my keepsake come ready to hang on my wall?

Your keepsake will come ready to hang. The thickness of the frame will allow the smaller frames to stand freely.

Fastening devices for the wall are not included since different wall materials require different types of fastening devices to be used. Ensure you use fastening devices suitable for the walls in your home.

Frames and Fitting Out

All frames come without glass, and with flexible points that can be bent to change the frames contents. Continuous manipulation of these points will result in them being damaged or broken. Otelier takes no responsibility for damaged/broken points due to changing of the frames contents. It is recommended that the flexible points are opened only once to insert/change the keepsake and set it in place.

Seconds Frames

When available, these frames can have tiny marks, little indents or small visible joins in the corners. No further discounts apply. These are not available for return or refund.
